Privacy Statement Jetmail
Jetmail is wholeheartedly convinced about the importance of protecting the privacy of its (ex-)customers, potential customers and visitors to its website. That is why the personal data of customers and visitors is handled and secured with the greatest possible care. When doing so, Jetmail complies with the General Data Protection Regulation (GDPR) and all applicable laws and regulations. This also means that:
- We clearly mention the purposes for which we process personal data. This has been done by way of this privacy statement;
- We limit the collection of personal data to personal data that is needed for legitimate purposes;
- We will first request explicit consent to process your personal data in cases where your consent is required;
- We will take appropriate security measures to protect your personal data, and also require this of parties that process personal data on our behalf;
- We will respect your privacy-related rights.
This privacy statement explains which personal data we collect and use, and for which purposes. We advise you to carefully read this statement.
Responsibility for data processing
In many cases, Jetmail works for a client, which means that Jetmail's client is the controller and that Jetmail is the processor. The controller determines the purpose of processing activities as well as the minimum technical and organisational measures that Jetmail must take for these processing activities. Jetmail feels responsible for the data processing activities that it carries out. That is why Jetmail also takes additional action besides the appropriate technical and organisational measures agreed with the client! For instance, for many years, Jetmail has implemented a comprehensive set of technical and organisational measures based on ISO 27001 and ISO 27701. Jetmail has these technical and organisational measures assessed at least once a year by an independent third party. Please refer to the accompany approval hallmarks on the website.
In accordance with the GDPR, Jetmail has also appointed a Data Protection Officer who is registered with the Data Protection Authority.
Use of personal data
Whenever Jetmail acts as the controller, Jetmail will only process your personal data for the purposes mentioned below. When you use our services, you supply us certain data. This may also include personal data.
Purposes for which we process personal data:
- Services The personal data that is supplied by you or our client is processed in order to prepare for or execute an established service agreement. To meet our legal retention obligations, we will store this information as long as the agreement is valid and up to 7 years afterwards.
- Information and advertising To inform you about (new) Jetmail products and services. Directly via e-mail or telephone, based on the consent you have provided. But also with campaigns on social media such as Facebook and/or search engines like Google. When doing so, we will take your preferences into consideration wherever possible based on the products or services that you have purchased or used. This information is partly collected via cookies for which you have provided consent. In this case, we will not use automated decision-making and you will always be able to make an objection. We will store this information until you revoke your consent or submit an objection, but certainly no longer than 5 years after our last interaction with you.
- Handling complaints and disputes To handle complaints, questions and disputes, and to participate in social media exchanges, when you request us to do so. We will store this information for up to 2 years after our last contact with you.
- Contact When you contact Jetmail to ensure that your request or question is handled. We will store this information for up to 2 years after our last contact with you.
- Statistics For statistical purposes, based on our legitimate commercial interests. We will only store aggregated information for this purpose.
- Job applications If you respond to a vacancy, we will process your name, address and other contact details, as well as you CV and cover letter, when preparing to establish a potential employment contract. We will store this data for up to 4 weeks after closing the vacancy, or up to 1 year if you have given us consent to do so.
Security and retention period
Jetmail will carefully handle the personal data that you entrust to us. For instance, Jetmail will ensure that your data is properly secured and can only be accessed by authorised persons at Jetmail. Jetmail will not store personal data for longer than necessary for the mentioned purposes or in order to comply with legal (retention-related) obligations.

Functional cookies
Google Tag Manager
Purpose: Analytics & tag management & cookie bar manager. This script is used to analyse the website in order to gain an insight into efficacy and quality. In addition, this script makes it possible to manage all analytical and tracking cookies, and thus to also comply with all laws and regulations.

Analytical cookies
Google Analytics: _ga, _gid, _gat
Purpose: We use Google Analytics to measure how you use the Jetmail website and how you found us. We then use this knowledge to improve our site. We will not be able to access your data without this cookie. As a result, we will not be able to see how you use our sites and you will have to wait longer for improvements. We have established a processing agreement with Google in order to make arrangements about what is done with our data. In addition, we have not permitted Google to use the obtained Analytics information for other Google services, and we also do not anonymise IP addresses.

Purpose: Jetmail uses Hotjar to improve the user-friendliness of its website. We also use Hotjar to identify potential errors on the site.
Retention period: This cookie comes from Hotjar and is retained for a maximum of 1 year.

Marketing cookies

Purpose: tracking & remarketing. This cookie (which is placed by a script) is used for the collection for advertising purposes, namely to anonymously analyse advertising campaigns and to anonymously collect data.
Retention period: This cookie comes from Google and is deleted after a maximum of two years.

Google Dynamic Remarketing
Purpose: Tracking & remarketing. This cookie (which is placed by a script) is used for the collection for advertising purposes, namely to anonymously analyse advertising campaigns and to anonymously collect data. In this case, this involves adverts via the Google Display Network (GDN).
Retention period: This cookie is removed after 90 days

Purpose: The Facebook pixel ensures that you see relevant content from Jetmail on Facebook. This allows us to offer you an improved service online.
Retention period: Facebook stores data as long as it is needed to offer products and services. Data that is linked to your personal Facebook account will be retained until you delete your Facebook account, unless Facebook no longer needs this data.

LinkedIn Marketing Solutions & LinkedInAds
Purpose: Tracking & remarketing. This cookie (which is placed by a script) is used for the collection for advertising purposes, namely to anonymously analyse advertising campaigns and to anonymously collect data.
Retention period: This cookie comes from LinkedIn and is deleted after a maximum of two years.
Information: LinkedIn does not sell personal details to third parties.
Personal data: IP address, cookie ID, Social-ID, profile, preferences.
Use of personal data by third parties
We use the services of third parties when supplying our services. In some cases, this means they process personal data on our behalf. Our website includes social media buttons. They are used by the operators of these services to collect your personal data. In addition, mail distributors are used to supply the produced signings or mailings to the correct address. We also use cloud software for our CRM and administration system and that of external advisers. In addition, we will not share your data with others unless we have a legal basis for doing so. If data is shared with third parties, we will establish agreements with these third parties to ensure that data is processed with due care while implementing appropriate security measures. We will always continue to be responsible for processing your data. If the shared data is modified or revoked, or if an objection is submitted, we will make sure that the third party is informed of the matter in an appropriate manner.
We will process your personal data (excluding cookies) within the European Economic Area.
Social media
Jetmail likes to use the internet and (its own) social media channels to converse with customers, users of our services and visitors to our website. The aim is to offer useful and relevant information and/or to answer questions shared via social media. Jetmail does this by actively monitoring the internet and social media channels such as Facebook, Twitter, LinkedIn and blogs.
When doing so, Jetmail endeavours to follow, participate in and/or proactively address feeds on these channels, and to respond to individual and relevant questions and comments. Jetmail explicitly retains the right to not respond to every question or comment. As a result, no rights can be claimed from Jetmail's decision to respond or not respond to specific comments or questions.
In some cases, Jetmail may register (personal) data when participating in feeds or when answering questions or responding to comments. Naturally, they will be processed in accordance with this privacy statement and will only be stored if this data has been legitimately obtained by Jetmail. Jetmail is not responsible for how other participants on its social media channels use personal data or the content on its social media channels. This privacy statement does not apply to third-party websites that are connected to our services by way of links. We advise you to read the respective privacy statements of these websites before you decide to use them.
Modifications
We will modify the privacy statement if there are new processing activities or if existing processing activities are modified. We advise you to regularly consult this privacy statement so that you are aware of these modifications.
Your privacy rights
You can always contact us using the contact details below if you have questions about our privacy policy or about your privacy rights.
We ask you to contact the concerned client if you would like to exercise your right to access, modify, destroy, restrict or export the data that Jetmail has received from its client. For instance, Jetmail is unable to honour such requests because it is not the controller of this data.
If Jetmail is in effect the controller of particular data, you can send us a request to access, modify or delete your data. You can also submit a request in order to obtain a data export, object to particular processing activities, impose restrictions on processing activities or to revoke your consent.
In order to prevent abuse, we may ask you to satisfactorily identify yourself. We will respond to your request within a maximum period of one month.
Data Protection Authority
Naturally, we will be pleased to assist you if you have a complaint about how your personal data is processed. In accordance with privacy-related legislation, you are also entitled to submit a complaint about the processing of your personal data to the Data Protection Authority.
